Step 1 of 6 · Your market

Not every licensee in the metro — use a number consisting of agents that produce consistently and that you would want in your office.

Top recruiting companies keep a Top 100 list — the names worth a monthly touch. We default to that (or your whole market, if it is smaller). Change it if your list cuts somewhere else.

Everything counts: calls, texts, emails, notes, event invites, the newsletter. Count the automated ones too — a send is a send.

Step 2 of 6 · Your last few messages

Separate each one with a blank line. We score whether each message gave the agent something they keep, or asked them for something. Most brokers are surprised.

Names, emails and phone numbers are stripped out before anything is read or stored — we keep a short redacted excerpt and the score, never the original text.

Step 3 of 6 · Your roster

A rough band is enough. Most owners know this one instinctively.

Only used to put a dollar range on what one departure costs. Skip it and you still get the concentration finding.
